How we handle your application information

What we collect
We collect the contact details, professional profile, experience answers, agency information, and supporting work links you choose to submit through the application form.
How we use it
Swarm uses this information to assess your fit for consulting opportunities, contact you about your application, prevent duplicate or abusive submissions, and maintain an auditable hiring record. We do not use application data for automated decision-making or marketing.
Who processes it
Application records are stored in Neon Postgres. Resend delivers transactional application emails, and Slack sends internal notifications to Swarm reviewers. Access is limited to people and services involved in operating the application process.
Retention
We retain application information for 12 months after the most recent application activity, unless a longer period is needed for an active engagement or required by law. Expired records are deleted from the application database.
Your choices
You may request a copy, correction, or deletion of your application information. Reply to your application confirmation email so we can verify the request and help you.
